Payroll & Benefits Coordinator

This is an opportunity for a detail-driven payroll professional to take ownership of the full payroll and benefits cycle for a fast-growing, multi-site organization operating across Ontario and Quebec — ensuring employees are paid accurately and on time, benefits and pension enrollment run without friction, and the payroll function operates as a trusted, well-run operation that people can count on.
Key Duties & Responsibilities
Payroll Processing
Process new hires, terminations, and employee changes accurately and on schedule
Commit payroll on a bi-weekly cycle and prepare the payroll package for sign-off
Validate payroll entries for accuracy prior to commit
Process statutory holiday payouts and monitor wage progressions against collective agreement schedules
Enter ratified wage updates and retroactive pay according to updated gridsDrive Engineering & Operational Excellence
Establish global engineering standards, governance models, and best practices
Lead enterprise-wide initiatives focused on cost, speed-to-market, and quality
Champion digital transformation across engineering systems, automation, and AI-enabled technologies
Embed a continuous improvement / value-engineering discipline into development practices
Benefits & Pension Administration
Enroll and exit plan members from benefits and pension programs independently
Review the system for enrollment errors and identify deductions not taken
Remit payroll-related vendor payments and ensure timely payment to carriers and providers
Prepare and review benefits remittances
Employee & Site Support
Serve as a key point of contact for pay, benefits, and pension inquiries across the organization
Respond to inquiries from operational leaders and site managers
Resolve straightforward pay discrepancies independently; escalate complex issues as needed
Year-End & Cyclical Duties
Process vacation payouts and perform vacation balance validation
Process year-end sick payouts
Support year-end updates and filings as required
Support system changes and upgrades in partnership with senior payroll leadership
Qualifications
Background in Business, Accounting, Payroll, or a related field, or an equivalent combination of education and experience
3+ years of payroll processing experience, including year-end knowledge and support
Currently enrolled in, and actively progressing toward, a recognized payroll compliance designation
Membership or enrollment with a national payroll professional body
Working knowledge of payroll compliance fundamentals
Advanced Microsoft Office skills, including lookups, references, text formulas, and mail merge
Strong attention to detail with a high degree of data entry accuracy
Clear, professional communication across all levels of the organization
Experience in a unionized payroll environment is an asset
Familiarity with enterprise HRIS platforms is an asset
Experience with multi-site or multi-jurisdiction payroll is an asset
